Administrative Assistant

The Administrative Assistant is based at the Totowa, NJ plant and reports directly to the Operations Manager. This position plays a key role in supporting operations, human resources, and EHS functions.

Essential Functions

• Assist Operations, Plant Director, EHS, and HR with administrative tasks as needed.
• Adhere to all GMP's (Good Manufacturing Practices), Safety, Environmental regulations and company policies.
• Support human resources processes including administering pre-employment testing; schedule interviews; coordinate with staffing agencies in compliance with relevant laws and company rules.
• Serve as a backup for employee orientation and onboarding.
• Manage Paid Time Off accruals for non-union personnel.

• Arrange travel and process expense reports.
• Act as point of contact for office maintenance, mailing, supply ordering, and vendor coordination.
• Organize meetings and appointments, including food and beverage arrangements.
• Maintain the Employee Directories.
• Serve as a Receptionist for backup, including answering and directing phone calls, administering PPE, and managing visitor procedures.
• Coordinate with IT and system vendors on related purchases and service requests.
• Manage access card system including issuing, deactivating, and managing access.
• Oversee uniform, water and hot beverages programs.
• Plan and coordinate corporate events including holiday gatherings, cookouts, flu shots, etc.

Minimum Qualifications

• High School Diploma or equivalent. Business or Human Resource degree preferred.
• 3 years of general administrative experience.
• Detail-oriented with ability to maintain accuracy in a fast-paced environment.
• Team-oriented with positive attitude, and work well with others.
• Ability to prioritize and handle multiple tasks.
• Computer knowledge, problem solving, and organizational skills.

Our offer

The below range reflects the range of possible compensation for this role at the time of this posting. This range may be modified in the future. An employee’s position within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, performance, location and business or organizational needs. The base hourly range for this role is $23.00 - $27.50.   In addition, we offer:

Working Environment: 

• Manufacturing plant is large, open floor areas with loud machinery, requiring some areas for workers to wear ear protection to guard against noise. Workers are exposed to high temperatures during the summer months. Some work in cold environments during winter months. You will be exposed to a dusty work environment due to raw materials. Materials may contain allergens (eggs, soy, peanuts, tree nuts, sesame seeds, milk, fish, shellfish, wheat). 
• Workers are required to wear masks, hair nets, or gloves to protect the product from possible contamination. Certain areas require respirators.
• In this position, you may be exposed to common airborne or surface food allergens—including, but not limited to, wheat, soy, eggs, dairy, and sesame—during the handling, mixing, storage, transport of materials, or when accessing the production floor

Physical Requirements:

• The person in this position usually sits, stands, walks, kneels, bends and reaches above and below the shoulders. Corrected vision, speaking ability, and hearing are usually involved in performing written and verbal job junctions.
